The planner

See every document on a board, a calendar, a list of briefs and your topic clusters.

The planner is where your content calendar lives. It shows every document in your project from four angles, so you can see what's coming, what's stuck and what's still missing.

The four views#

The planner has four tabs: Board, Calendar, Briefs and Clusters. You can also jump straight to each one from the sidebar.

Board#

The board has one column per status: Idea, Planned, Drafting, In review, Scheduled and Published. Each card is a document.

  • Drag a card to another column to change its status.
  • Use a card's status menu to move it without dragging. It does the same thing, and it's easier on a phone.
  • Choose the plus button at the top of a column to add a document with that status.

On a small screen the board shows one column at a time. Pick a column in the tabs at the top to switch.

Calendar#

The calendar places each document on its due date, or on its publish date once it's scheduled or published. Use the arrows to go to the previous or next month.

Drag a document to another day to move it. For a draft, that changes its due date. For a scheduled document, it moves the publish date.

Briefs#

A table of every brief in the project, with its target keyword, search intent, due date and state. Choose a row to open the brief, or choose New idea to start one. See Briefs and ideas.

Clusters#

One card per topic cluster, with its keywords, its documents and a progress bar like "3 of 8 published". See Topic clusters.

Moves that ask first#

Some moves change what's on your website, so the planner checks with you first:

  • Moving a card to Published opens a dialog where you choose Publish now.
  • Moving a card to Scheduled opens the same dialog with Schedule, where you pick the date and time.
  • Moving a published card anywhere except In review asks whether to unpublish it first.

If a move isn't allowed, the card snaps back and a message tells you why. A document can't be published without a title and a slug, for example.

Tip: A published document can go back to In review without leaving your website. That's handy when you want a second pair of eyes on an update.

Start a new idea#

  1. Choose New idea in the planner header.
  2. Give it a working title and fill in the brief.
  3. Choose Create.

The idea shows up in the Idea column, ready to be planned.

Note: The board and the calendar show the 500 most recently updated documents. Older ones are still in Documents.
