Statuses and workflow
Follow every document from first idea to live page.
Every document in PMKIN has a status that says where it is on the way from first idea to live page. Statuses keep your team, and your agents, on the same page about what's next.
The six statuses#
| Status | What it means |
|---|---|
| Idea | A brief with no content yet. See Briefs and ideas. |
| Planned | Someone decided to write it. |
| Drafting | Someone is writing it. |
| In review | The draft is waiting for a reviewer. See Reviews. |
| Scheduled | It will publish on its own at a set time. |
| Published | It's live on your website. |
A document usually moves left to right: Idea → Planned → Drafting → In review → Scheduled → Published. You don't have to stop at every step, though. Publishing straight from Drafting is fine.
Change a status#
- In the editor: pick a Status in the document's details panel.
- On the board: drag the card to another column, or use its status menu. See The planner.
Moves with extra steps#
Most moves just change the status, but a few do more:
- Moving to In review submits the document for review.
- Moving to Scheduled or Published asks you to schedule or publish it. A document needs a title and a slug for either.
- Moving a scheduled document anywhere else cancels its schedule first.
- Moving a published document anywhere except In review asks whether to unpublish it, since it would come off your website.
Tip: Need a second look at a live page? Move it to In review. It stays on your website while the reviewer reads the changes.
Assignees#
The Assignee is the person responsible for the document. Pick one in the details panel, or when you create the document.
Only members of your team can be assignees. Agents can claim briefs and write drafts, but they can't be assigned. See Members and invites to add teammates.
Due dates#
Set a Due date in the details panel, on the brief, or when you create the document. The due date places the document on the planner's calendar and shows on its board card, like "Due Oct 9".
Once a document is scheduled or published, the details panel shows its Publish date instead.
Note: Due this week on Home lists what's coming up, so nothing sneaks up on you.
Where to find documents by status#
- The Board in the sidebar shows a column per status.
- In review in the sidebar lists everything waiting for a reviewer.
- The Documents page lists every document with its status.
For developers#
The workflow reference lists every transition the management API and MCP allow.
